Operations Manager
The Operations Manager acts as a coordination and analytical function within the Sales/Account Department, ensuring data transparency, operational consistency, and process excellence. The role supports the VP of Sales and Sales Directors by enabling a data-driven approach to decision-making, maintaining alignment between Sales, Account Management, and Production teams, and overseeing the integrity of sales-related systems and reporting.
Your responsibilities
- Data management and analytics enablement
- Collect, validate, and structure operational data from CRM, Power BI, and other corporate systems to support performance analysis and decision-making.
- Consolidate metrics across business lines to provide a unified sales performance view (pipeline dynamics, win/loss ratios, conversion, RFP analytics, etc.).
- Support Sales and AM teams in adopting data-driven practices through regular insights and dashboards.
- System ownership and coordination
- Act as business owner for CRM and Power BI systems on behalf of the Sales function.
- Translate SM and AM team requirements into system change requests, review implementations, validate outcomes, and collect feedback from end users.
- Serve as the operational bridge between Sales and IT/data teams, offloading this function from SMs
- Documentation and compliance control
- Oversee the presence and correctness of signed documents in the system
- Ensure timely update and completeness of contractual and procedural documentation for sales opportunities.
- Reporting and executive preparation
- Prepare data and materials for weekly VIP and resource opportunity reviews
- Aggregate data from multiple systems to create concise management summaries.
- Lead flow initial analytics preparation
- Perform manual data validation and cleansing of incoming lead streams on a weekly basis
- Prepare datasets for advanced analytics (conversion, source quality, performance benchmarking)
- RFP performance analysis
- Collect and systematize data on problematic RFPs to enable deep-dive analysis and process optimization.
- Analyze KPI adherence across teams (Sales, Presales, Production) and highlight bottlenecks in proposal processing.
- Identify and clean up data on RFP-related difficulties for further statistical and qualitative analysis – will be used in regular reviews as a space for improvements.
- Competitiveness and market insight
- Conduct analysis of proposal competitiveness, including ad-hoc competitor intelligence to understand strengths and weaknesses.
- Track and summarize industry trends and competitor activities; provide pre-screened insights for discussion with management and practice leaders.
- Policy management and alignment
- Maintain and regularly update Sales and Account Management policies to ensure they reflect current practices.
- Create new policies upon request from the Sales or AM teams.
- Identify alignment gaps between Sales/AM policies and Production procedures, ensuring consistency and governance across functions.
- Campaign and data preparation support
- Collect and prepare client and lead datasets for outbound campaigns, events, and targeted communication activities.
- Compile and maintain distribution lists for SMs and AMs
- Coordinate and follow up with colleagues to ensure timely execution of outreach and marketing-related tasks (“pinging” for control and status updates).
- Track and consolidate statistics on campaign performance, response rates, and task completion to provide visibility to management.

Requirements:
- 3+ years of experience in sales operations, business analysis, or project coordination roles (preferably in IT services).
- Strong analytical mindset with practical experience in CRM systems and Power BI.
- Excellent organizational skills and attention to detail; ability to manage multiple tasks simultaneously.
- Upper-intermediate or higher level of English.
- Experience in preparing management reports, validating operational data, and supporting process improvement initiatives.
